To access the Check-In module, go to the Sub Event tab and click on the Check-in button for the desired sub-event.
Steps:
- Navigate to the Sub Event tab.
- Click the Check-in button for the sub-event you want to manage.
- Once on the Check-In page, begin scanning tickets to verify entry.
- (Optional) For an interactive audience experience, click Display Tab to open a separate audience-facing screen. See Display Tab below.
Manual Check-In
When attendees forget or lose access to their tickets, you can use the Manual Check-In feature to quickly locate and check them in without scanning their ticket.
Steps:
- On the Check-In page, click the Manual Check-In button. A side drawer opens listing all tickets, with search and filter at the top and a Columns toggle for choosing which columns to display.
- Search for the attendee by name, company, or ticket number.
- Click the Check In button next to their record to mark attendance.
Add Walk-In Guest
In cases of last-minute attendees, such as unexpected VIPs or plus-ones, you can use the Add Walk-In Guest feature to create a ticket on the spot. This serves as an emergency quick registration form for immediate entry.
Steps:
- On the Check-In page, click the Add Walk-In button. The Add Walk-in Guest dialog opens — this is the same form used to add a ticket from the Tickets page, with a Basic Information tab and a Custom Notes tab.
- Fill in the guest's details: Ticket Type, Holder Name, Email, Company Name, Contact Number.
- (Optional) Switch to the Custom Notes tab to add any extra key-value notes.
- Click Submit to generate the ticket. It is automatically checked in once created.
Show Custom Notes
The Show custom notes toggle controls whether the Post Check-In Dialog includes a custom-notes section, so you can record per-guest information (meal preferences, special tags, etc.) at check-in.
Steps:
- On the Check-In page, click the Settings button.
- On the Behavior tab, make sure Post check-in dialog is enabled.
- Enable the Show custom notes toggle — described in-app as "Allow adding custom key-value notes to tickets".
Print Ticket
Auto-print labels for every successful check-in so attendees can collect a printed badge on the spot.
Steps:
- On the Check-In page, click the Settings button.
- On the Behavior tab, enable the Auto-print after check-in toggle (described in-app as "Automatically print label after successful check-in").
- Customize the printed label on the Label Design tab. See Label Design.
Scanner Mode (Camera Tab)
The Camera Tab opens a dedicated full-screen scanner page in a new browser tab, turning an iPad, tablet, or laptop into a ticket scanner. It's a separate page from the main Check-In screen so you can dedicate one device entirely to scanning.
Steps:
- On the Check-In page, click the Camera Tab button. A new browser tab opens at the dedicated camera scanner page.
- Allow camera access when prompted.
- Point your device's camera at a ticket QR code — scans are recognized automatically.
What's on the page
- Layout viewer (left, hidden on mobile) — the event hall layout. After a successful scan, it auto-pans to the assigned table or seat.
- Camera scanner (top right) — live camera with a "Position QR code within frame" overlay and a camera switch button to toggle between front and back cameras (defaults to back-facing).
- Ticket result panel (bottom right) — shows the scanned ticket's Table / Seat, Ticket Information, Holder Information, and Custom Notes. Includes an Edit Note button (opens the Post Check-In Dialog) and Print / Clear Result buttons.
Auto-print on this page
The Camera Tab has its own Auto-print toggle at the bottom of the scanner card. It is independent from the main Check-In page's Auto-print after check-in setting, so you can enable auto-print on the scanner station only.
Post Check-In Dialog
When the Post check-in dialog setting is enabled (it is by default), every successful manual check-in or walk-in opens a dialog so you can record any extra information about the guest before moving on.
What's on the dialog
- Title: "Check-In Successful!" with subtitle "Check-In Complete".
- Ticket Summary — Ticket Number, Guest Name, Ticket Type, Company, Table / Seat, Contact Number.
- Custom Notes section — only shown when Show custom notes is enabled. Each row has a Label input and a Value input. Click Add Field to add another row, or use the remove button on a row to delete it.
Footer buttons
- Print — print the label without saving any notes (only shown when label printing is enabled).
- Save — appears when at least one valid note is entered (label and value are both non-empty). Saves the notes against the ticket.
- Done — appears when no notes are entered. Closes the dialog and pushes the ticket to the Display Tab.
- Close — appears when Show custom notes is disabled.
Label Design
The Label Design tab in the Settings dialog is a WYSIWYG designer for the printed check-in label. The design you save here is shared by every print path: auto-print after check-in, the manual Print button on a ticket, and the Camera Tab's print.
Steps:
- On the Check-In page, click Settings, then switch to the Label Design tab.
- Set the Paper Size — Width and Height in cm (range 2–30 cm, up to 1 decimal place).
- Set the Margins for Top, Right, Bottom, and Left. Use the mm / inch toggle to switch units (mm uses whole numbers; inch allows up to 3 decimals).
- (Optional) Click Upload Background to add a JPG or PNG image behind the label content. Click Change Background to replace it later.
- Use the block editor to drag fields onto the label canvas (holder name, ticket number, table, custom notes, etc.). Click any block to resize or restyle it.
- Click Test Print to print a sample label using placeholder data — this lets you validate paper size, margins, and field positions without checking anyone in.
- Click Reset if you want to discard your changes and return to the default design.
Display Tab
The Display Tab is a separate full-screen audience-facing page. Open it on a second screen at your venue so guests can see their seating assignment as soon as they check in.
Steps:
- On the Check-In page, click the Display Tab button. A new browser tab/window opens at the audience-facing display page.
- Move that window to your second screen (projector, TV, or external monitor) and go full-screen.
- Continue checking guests in from your main device — each successful check-in appears on the Display Tab automatically.
What guests see
- Layout (left) — the event hall layout, with the assigned table or seat highlighted and auto-panned into view.
- Ticket info (right) — large Table / Seat header, Ticket Number, Holder Name, Company, Email, Contact Number, and Custom Notes.
- A short animation plays when a new ticket arrives.
Using a USB Barcode Scanner
If you have a USB barcode scanner that types like a keyboard, you can use it on the Check-In page with no setup.
How it works:
- Open the Check-In page on the device with the scanner attached.
- Scan a ticket QR code — the scanner types the ticket number and presses Enter automatically.
- If the scanned value starts with TICKET, the page recognizes it as a ticket number and checks the guest in. Otherwise a warning toast appears ("Invalid ticket number").
Real-Time Sync Across Devices
Open the Check-In page on multiple devices (phones, tablets, laptops) to share the workload — every check-in propagates to all open tabs in real time.
- On each device, navigate to the same sub-event's Check-In page.
- When anyone checks in a guest (manual, USB scanner, Camera Tab, or Add Walk-In), a success toast appears on every connected device: "A guest has checked-in! <ticket number> — <holder name>".
- The check-in list and the dashboard counters refresh automatically on every device, so you don't need to reload.
