Queue

The Queue feature runs a live guest line for a sub-event. Guests join from their phones, you admit them a few at a time, and a big-screen Display Board shows whose turn it is.

Steps:

  1. Navigate to the Sub Event tab.
  2. On the sub-event you want to manage, click the Queue action (labelled "Manage queue"). The Queue console opens in a new browser tab.
  3. Click Admit Next in Line to call the next guests. Use the Settings, Display Tab, and Share QR buttons for everything else — each is covered below.

Queue Settings

Settings control how the queue behaves. Your changes take effect right away — on the console, the Display Board, and the guest join page.

Steps:

  1. On the Queue console, click the Settings button.
  2. Change any of the options below.
  3. Click Save. (Click Cancel to discard your changes.)

How guests join

Setting What it does
Guests can join by scanning the QR code When on, guests self-join from their phones via the QR. When off, they're queued automatically when staff check them in — see Auto-Queue on Check-In.
Show the queue QR on the display screen Shows the QR on the Display Board so guests can scan it to check their status or join the line.
Only ticket holders can join A guest's email must match an event ticket.
Queue goers together with the parent Goers get their own queue numbers when the parent ticket joins. Available only when Only ticket holders can join is on.

Admitting guests

Setting What it does
Call a batch automatically Admits the next batch on a timer, without tapping Admit Next in Line. See Time-Based Auto Release.
Release interval (minutes) Minutes between automatic batches. Shown only when Call a batch automatically is on.
Guests called per batch How many guests Admit Next in Line admits at once.
Maximum guests inside at once No more guests are admitted past this number until someone exits.
Note: Guests called per batch can't be larger than Maximum guests inside at once. If you lower the maximum below the current batch size, the batch size drops to match.

Admitting Guests

Admitting a guest moves them from the Waiting line into the venue. Their number appears under Now Calling on the Display Board, and guests who joined online get a notification on their phone.

Three ways to admit:

  • Admit Next in Line — admits the next batch from the front of the line. The batch size is your Guests called per batch setting. The button is greyed out when no one is waiting.
  • Admit on a row — admit one specific guest from the Waiting tab.
  • Admit Selected — tick several guests on the Waiting tab, then admit them together.
Capacity: You can't have more than Maximum guests inside at once admitted at the same time. If a batch would go over the limit, none of it is admitted — exit some guests first to free up room.

Add a Guest (Walk-ins)

You can add a walk-in straight to the waiting line from the console — handy when self-join is off, or for anyone joining at the counter rather than scanning the QR.

Steps:

  1. On the Queue console, click the Add Guest button.
  2. Enter the guest's Name and Email (both required); optionally add a Contact Number.
  3. Click Add to Queue. They join the waiting line and get a queue number — a confirmation shows "Added to queue as #123".
Note: If that email is already in the queue, no duplicate is created — the dialog shows the existing number instead: "This email is already in the queue as #123." The guest can then follow their turn from the join page using their email or phone number under Check status — see What Guests See.

Managing the Queue

The console shows everyone in three tabs, each with a live count: Waiting (in line), Admitted (called into the venue), and Exited (done). Use the search box to find anyone by name, email, ticket number, or queue number.

Row actions

Button What it does
Admit Move a Waiting guest into the venue.
Exit Mark an Admitted guest as done.
Re-queue Put an Exited guest back in line. Greyed out if they're already in the queue.
Remove Delete the guest from the queue completely.

On the Waiting and Admitted tabs you can tick several rows and use Admit Selected or Exit Selected to act on them all at once.

Latest Admitted: A card next to the console always shows the most recently admitted guest — their queue number, name, email, ticket, and the time they were admitted.

Time-Based Auto Release

Let the queue admit a batch on its own at a fixed interval, instead of clicking Admit each time. Handy for staggered entry, like letting a few guests in every five minutes.

Steps:

  1. Open Settings and turn on Call a batch automatically.
  2. Set the Release interval (minutes) — how often a batch is admitted.
  3. Set Guests called per batch — how many guests each batch admits.
  4. Click Save.

A countdown ring on the console shows the time until the next admission. At zero it shows "Releasing…" and admits the next batch, then starts again. When the setting is off, the ring shows "Manual" and guests are only admitted when you click Admit.

Tip: While time-based release is on, the Display Board also shows guests an approximate wait time.

Auto-Queue on Check-In

Turn this on when you'd rather staff add guests to the line than have guests join themselves — for example, ticketed entry. Guests are added the moment they're checked in, and the join QR is switched off.

Steps:

  1. Open Settings, turn off Guests can join by scanning the QR code, and click Save. (Turning self-join off is what queues guests automatically at check-in.)
  2. Check guests in as usual on the Check-In page — each one joins the line automatically.
Note: If Queue goers together with the parent is also on, checking in a group's main ticket adds that group's goers to the line as well.

Display Board

The Display Board is a full-screen page for a TV or monitor at your venue. It shows who's being called now and who entered recently, so guests can watch for their number.

Steps:

  1. On the Queue console, click the Display Tab button. A new browser tab opens with the board.
  2. Move that window to your venue screen (TV, projector, or monitor) and go full-screen.
  3. Keep admitting guests from the console — the board updates on its own.

What's on the board

  • Now Calling — the large queue numbers of the guests just admitted.
  • Previously Called — recently admitted numbers, each with the time it was called.
  • Join QR — a code guests can scan to check their status or join the line (shown when Show the queue QR on the display screen is on).
  • Waiting count — how many guests are still in line, plus an approximate wait time when time-based release is on.
Connection status: On the console, the Display Tab card shows Connected once a board is open, or Not Connected when none is running — so you know your venue screen is live.

Share the Join Link

Give guests a QR code and link they can use to join the line from their phones.

Steps:

  1. On the Queue console, click the Share QR button.
  2. Show the QR code at your entrance, or copy the link and send it to guests.

You can also show the same QR on the Display Board.

Note: When Auto-queue on check-in is on, self-join is off, so this link won't let guests add themselves — they're queued at check-in instead.

What Guests See

When a guest opens the join link or scans the QR, they land on a Queue Status page with two tabs: Check status and Join queue.

Check status

The guest enters their email or phone number to look up their place in line (phone covers walk-ins added at the counter who have no email). They see their queue number and how many people are ahead, kept up to date on its own. If one email matches several tickets, they're asked to add their Name and try again. If they're not in line yet, they're sent to Join queue with their details carried over — or, when self-join is off, told to come to the counter for a number.

Join queue

Shown when Guests can join by scanning the QR code is on. The guest enters their Email, Name, and Contact Number, then taps Join the queue to get a number right away. When self-join is off, this tab instead shows a "Join the line at the counter" message.

Once they have a number

  1. Waiting — they see their queue number and how many people are ahead.
  2. It's your turn! — when you admit them, the page shows their number and "Please head to the counter now." Their phone vibrates if it can.
  3. You're all done — after you exit them, the page shows a thank-you screen.
Common messages: If a required ticket email isn't found, the guest sees "We couldn't find a ticket for that email." If one email matches several tickets, they're asked to add their name. If self-join is off, they're told to get a number at the counter. And if staff remove them, the page shows "Your queue entry is no longer active — please check with the counter."

Real-Time Sync

Everything stays in sync without anyone hitting refresh.

  • The console, the Display Board, and every guest's page update live as you admit, exit, re-queue, or remove guests.
  • A guest waiting on their phone is notified the moment you admit them.
  • You can open the console on several devices at once — they all show the same live queue.
